SCOPE OF POSITION:
The Payroll Administrator will be responsible for accurate processing of the assigned payroll. In addition, the role works closely with supervisors and managers to coordinate and streamline payroll processes, ensuring accurate flow and maintenance of employee data to support operational efficiency and employee satisfaction. This is a 14 month contract position covering a maternity leave.
Responsibilities and Essential Functions:
- Process assigned bi-weekly payroll across multiple provinces as well as one union payroll within Ontario.
- Verify timesheet information and obtain approval from managers for electronic timesheets; gather manual payroll earnings data and verify amounts have been approved by management prior to payment (e.g. bonus and commission); confirm the accuracy of calculated payroll earnings, deductions, and taxes by auditing payroll preview data prior to committing the payroll.
- Research and resolve any problems regarding payroll, including issues with onsite timeclocks or electronic timesheets.
- Review automatic vendor feeds and/or upload payroll data on the vendor’s websites (e.g. Retirement and Insurance Carriers, Worker Compensation Boards)
- Liaise with Human Resources (HR) and hiring managers to ensure new hire and employee information is received and updated on time, including the processing of all employee transfers, leaves of absences, terminations, etc.
- Review employee and employer taxes to confirm accuracy (e.g. Statutory Remittances and Workers Compensation); work closely with employees and HR Partners to enter any adjustments or taxable benefits prior to each year end.
- Prepare payroll-related reports as requested by management, the finance department or HR department.
- Maintain integrity of HRIS data, including but not limited to, system updates and additions; assist in administering the implementation of acquired companies and employees into the system.
- Audit employee payroll changes for proper authorization and adherence to company policy including compliance with federal, provincial, and union regulations.
- Work closely with finance to ensure a smooth month-end; verify general ledger files are accurate; balance, remit and reconcile payroll related payments and send requested information timely and accurately.
- Prepare Electronic Records of Employment.
- Assist various business partners with correspondence, annual audits, various research projects, and/or special projects.
- Act as a resource to employees on all payroll related matters, responding to internal payroll inquiries quickly to resolve concerns.
- Respond to external agencies including CRA, Service Canada, Workers Compensation Board, Family Support, Union, etc.
- Assist the Total Rewards Manager in preparing the year end reports including taxable benefits calculation, T4 and T4A forms, Pension Adjustments and various government annual returns
- Provide back up support to other Payroll team members in Canada and the United States
- Participate in committees and meetings as required.
- Perform other duties as assigned.

Required Credentials:
- 1 - 3 years of payroll experience preferably with unionized payroll exposure.
- Certification from the National Payroll Institute considered an asset.
- Knowledge of government remittances, including CRA, Revenue Quebec, EHT, and Provincial Workers Compensation Boards.
- Ability to accurately balance payroll reports with a high level of attention to detail.
- Proficient in Microsoft Word and Excel to support payroll processing and reporting.
- Knowledge of taxable and non-taxable benefits and their application within payroll.
- Maintains a high level of integrity and confidentiality when handling sensitive employee information.
- Strong customer service and interpersonal skills.
- Knowledge of UKG or similar payroll systems considered an asset.
- Bilingualism an asset.
